RESERVATIONS NOW BEING TAKEN FOR ANY
KENMORE RESIDENTS OR REGISTERED 501(c)(3) NONPROFITS
The Hangar is a gathering place for Kenmore residents and visitors to use free-of- charge. There are two indoor spaces in the Hangar that Kenmore residents can reserve. When these spaces are not reserved, they are available for anyone to use informally for hanging out or meeting friends or a client.
The outside plaza area between The Hangar and Stoup Brewing is known as the Town Square. Any requests to reserve the Town Square should be made via a Special Events Permit through our Development Services Department.
The Otter Room (bigger, open room, capacity: 50 people) may be reserved by Kenmore residents and 501(c)(3) non-profit organizations. Non-residents and for-profit businesses may not reserve the Otter Room.
The Beaver Room (smaller room with sliding doors, capacity: 12 people) may be reserved by Kenmore residents, nonprofits, for-profit businesses physically located in Kenmore.
Availability
The Otter Room and Beaver Room are available for reservations as follows:

Monday-Friday, 1:00 p.m. - 7:00 p.m. (Open Use only 10:00 a.m. - 1:00 p.m.)

Saturday, 1:00 - 7:00 p.m. (Open Use only 6:00 a.m. - 1:00 p.m.)

Reservations will not be accepted during "Open Use" hours. This time is set aside for the community to hang out, work, study, etc. in both the Otter Room and Beaver Room on a first come, first served basis. Please note that groups of 10 or more people must make a reservation during a non-"Open Use" time.

Reservations

Events and meetings of:

10 or more people must have a reservation to use the Hangar.

1 to 29 people must make reservations three (3) working days in advance.

30 or more people must make reservations thirty-five (35) days in advance.

Reservations must be made using this website's Book Online tab. Phone or email reservations will not be accepted.

Room reservations are in one (1) hour increments up to a maximum of three (3) hours.
-
Reservations may be made up to six (6) months in advance.
-
Individuals or groups may not monopolize any space within the Hangar, with or without reservations.
-
The public and Diva Espresso customers are free to come and go throughout the building at all times.
-
When using the Otter Room for a reservation or event, the public must be able to attend the event and freely enter and exit through all of the exterior doors of the building.

No one may sell merchandise or charge for programming/classes in the Hangar, unless granted special permission by the City.

Late Policy: If a user or group does not arrive within 15 minutes of the reservation start time, the reservation will be considered canceled and the room will be reclassified as “Open Use” to the public. Changes to the reservation start time must be made at least 48 hours prior to the reservation.

No shows: The City retains the right to cancel all future reservations without notice or to refuse future reservations for users or groups who do not arrive for their reservation and have failed to meet cancellation notice requirements.
Age of Persons Reserving the Spaces

Any Applicant who reserves either space must be 18 years or older.

Groups comprised of minors (under 18 years of age) must be supervised by a sufficient number of adults at all times.
DEPOSITS
The City does not charge a fee for reserving the spaces in the Hangar. However, the City does charge a refundable deposit in advance of the reservation under the following circumstances:

For group sizes of 30 people or more, if food and/or beverage is brought in (catered, potluck, etc.) as part of the event: A $150 deposit will be charged and refunded if city staff find the space clean and in good condition after the event. Of this deposit, $100 will not be refunded for “no-shows" and cancellations less than two business days in advance of the reservation.

For group sizes of 30 people or more, if no food is served: A $100 deposit will be charged and refunded if city staff find the space clean and in good condition after the event. The deposit will not be refunded for “no-shows” and cancellations less than two business days in advance of the reservation.

$50 of the deposit will not be refunded for groups of 30 more who over-stay their reservation by more than 10 minutes past the reservation end time.
MEETINGS & EVENTS
Room Set Up, Take Down, and Clean Up

The City is not responsible for room setup or takedown.
-
Those who have reserved the spaces are responsible for room setup and may use the tables and chairs in the two spaces.

A limited number of additional chairs and tables may be available for meetings and events with at least three (3) working days advance notice to the City.

At the conclusion of the reservation, the attendees must restore the room to the way they found it prior to the event and before the end time of the reservation/building hours.

The Applicant who reserved the space is responsible for cleanup immediately following the event. Cleanup includes:

Returning furniture to its prior location,
-
Picking up trash and bringing it to the dumpster,
-
Wiping up spills and removing food crumbs (and other scraps)
-

If additional cleanup beyond routine cleaning by City staff is required, the Applicant will be charged for the City's cost of cleanup and/or may not be allowed to use the facility in the future.
Audio/Visual
-
The Hangar contains a speaker, microphone system, and video projector screen that may only be set up and operated by City staff.
-
Groups must bring their own laptops and cords for digital and video presentations.
-
Users of amplified sound must be sensitive and courteous to Diva Espresso, its patrons, and other users of the Hangar. City staff may adjust the volume at any time.

Amplified sound is not allowed on Saturday and Sunday mornings before 9 am and on weekdays before 7 am.
Decorations
-
Items may not be attached to the ceiling, doors, walls, light fixtures or windows.

Items prohibited in the Hangar: Rice, bubbles, silly string, birdseed, confetti and glitter or other similar items.

The Applicant will be charged for the costs of repairing damage resulting from the use of prohibited items and may not be allowed to use the facility in the future.
Signage

No signage can be posted in or on the Hangar building.

Users may post up to two A-board or small banners near (but not on) the building.
-
Signage cannot be posted more than one hour in advance of the event and must be removed immediately afterwards.
Deliveries

The Applicant reserving the space must be present to accept or sign for any deliveries related to the event.
-
No storage space is available in the Hangar for event supplies or equipment.
GENERAL USE POLICIES
The following items are prohibited in the Hangar or on the premises:

Tobacco products (use may not be within 25 feet of any entrance or window).

The possession, sale, or use of marijuana products.
-
Alcohol (except when within the Diva Espresso space).
-
Firearms or weapons.
-
Candles or any other type of open flame, flammable materials or fog/smoke machines.
-
Animals (service animals welcome).
-
Election, campaign, or other political activities.
-
Explicit or pornographic material, including images, videos, artwork, etc.
-
Artwork shown or displayed in the Hangar unless approved by the City.
-
Distribution of give-aways deemed to be hazardous, a nuisance or not family-friendly.
-
Lying down, napping, or sleeping.
-
The act of selling any goods or services or soliciting funds.
-
Memorials, wakes, or funerals.
-
Illegal, disruptive, or discriminatory behaviors.
Indemnification
The Applicant must execute an application online to reserve space in the Hangar and agree to be the responsible party in case of damage, theft, or disturbances arising from the use of the reserved space. The Applicant must agree to indemnify and hold the City, its elected officials, officers, employees, agents and volunteers harmless from any and all claims, demands, losses, action and liabilities, including costs or attorney's fees, to or by any and all persons or entities, including, without limitation, their respective agents, licensees, or representatives, arising from, resulting from or connected in any way with the Applicant and attendees of the activity, or by the Applicant's or attendees' breach of these policies or application agreement. The City is not responsible for lost, stolen or damaged items.
